Connecting Gmail

Connect your Gmail account to send emails from CloudRent Pro using your own email address. Quotes, invoices, and contracts will come from you — not from a generic system address.

Why Connect Gmail

    • Emails from your address — Recipients see you, not CloudRent Pro

    • Better deliverability — Less likely to hit spam filters

    • Professional appearance — Consistent branding

    • Conversation threading — Replies come back to your inbox

Connecting Your Gmail Account

    • Go to Settings → Integrations

    • Click "Connect Gmail"

    • Sign in to Google (if not already)

    • Review the permissions

    • Click "Allow"

    • Return to CloudRent Pro

Your Gmail account is now connected.

Permissions Requested

CloudRent Pro requests permission to:

    • Send email on your behalf — To send quotes, invoices, etc.

    • View your email address — To display the sender

CloudRent Pro does NOT:

    • Read your emails

    • Access your contacts

    • Store your password

Tip: The connection uses OAuth 2.0, the industry-standard secure authentication method. Your password is never shared with CloudRent Pro.

Choosing Which Account Sends

If multiple staff have connected their Gmail:

    • Each user sends from their connected account

    • Or set a company default in Settings → Email

Configure whether emails come from the individual user or always from a shared company address.

After Connecting

Test your connection:

    • Create a test invoice

    • Send to yourself

    • Check it arrives from your Gmail address

Google Workspace / G Suite

For Google Workspace (business) accounts:

    • Connection works the same way

    • Your admin may need to approve CloudRent Pro in the Google Admin Console

    • Contact your IT admin if connection fails

ℹ️

Note: Some organisations restrict which third-party apps can connect. If you see an error about "app not verified" or "access denied", your admin needs to whitelist CloudRent Pro.

Disconnecting Gmail

To disconnect:

    • Go to Settings → Integrations

    • Find Gmail

    • Click "Disconnect"

    • Confirm

After disconnecting, emails will be sent from CloudRent Pro's default address unless another email service is connected.

Troubleshooting

Connection Fails

    • Clear browser cookies and try again

    • Make sure pop-ups aren't blocked

    • Try an incognito/private window

    • Check if your organisation restricts third-party apps

Emails Not Sending

    • Check connection status in Settings

    • Reconnect if token expired

    • Check Gmail sending limits (500/day for regular, 2000/day for Workspace)

Permission Error

    • The OAuth token may have expired

    • Disconnect and reconnect

Tips for Gmail Integration

📝 Use Professional Address

Connect a professional email (you@yourcompany.com) rather than a personal Gmail.

💰 Check Sent Folder

Emails sent via CloudRent Pro also appear in your Gmail Sent folder.

📂 Monitor Bounces

Failed deliveries may appear in your Gmail as bounce-backs.

🎯 Watch Sending Limits

Gmail has daily sending limits. High-volume senders may need a transactional email service.
