Maintenance history provides a complete service record for every piece of equipment. It shows what work has been done, when, and by whom — essential for warranty claims, resale, and understanding equipment reliability.

What's Recorded

Each maintenance record captures:

Viewing Equipment History

    • Open the equipment item

    • Click "Maintenance" tab

    • See complete service history

History is sorted newest first. Click any entry to see full details.

Filtering History

Find specific records:

    • By date range — Last month, year, custom range

    • By type — Maintenance, Repair, Inspection

    • By technician — Who did the work

    • By cost threshold — Major repairs only

Tip: Filter by "Repair" to see breakdown history. Equipment with frequent repairs may need replacement.

History from Service Jobs

When service jobs are completed, they automatically add to history:

    • Service job completed

    • Completion details captured

    • Record added to equipment history

This ensures all work is tracked without extra data entry.

Adding Manual History

Record service done outside CloudRent Pro:

    • Open equipment → Maintenance tab

    • Click "Add Manual Entry"

    • Enter service details:

    • Date performed

    • Type of service

    • Description

    • Technician (or external provider)

    • Cost

    • Save

Use this for:

    • Manufacturer warranty work

    • Third-party repairs

    • Pre-existing history when adding equipment

Importing History

When adding existing equipment to CloudRent Pro:

    • Create the equipment item

    • Go to Maintenance → Import

    • Upload CSV with historical records

    • Map columns to fields

    • Import

This preserves complete history even for equipment acquired before using CloudRent Pro.

Total Cost of Ownership

History enables cost analysis:

    • Open equipment → Maintenance tab

    • View "Cost Summary":

    • Total maintenance cost

    • Total parts cost

    • Total labour cost

    • Cost per year/month

    • Cost per rental

Compare maintenance costs across similar equipment to identify problem units.

Warranty Tracking

Link history to warranty claims:

    • Record warranty expiry on equipment

    • Tag service records as "Warranty Claim"

    • Track claim status

History provides documentation needed for manufacturer claims.

Exporting History

Export maintenance records:

    • Open equipment → Maintenance tab

    • Click "Export"

    • Choose format: CSV, PDF

    • Select date range (or all history)

    • Download

Use for:

    • Equipment sale documentation

    • Warranty claims

    • Compliance audits

    • Insurance purposes

Equipment Reliability Report

Analyse maintenance patterns:

    • Go to Reports → Equipment

    • Select "Reliability Report"

    • See metrics by equipment:

    • Breakdown frequency

    • Average repair cost

    • Downtime percentage

    • Maintenance cost vs revenue

Note: Equipment with maintenance costs exceeding rental revenue may need to be retired or sold.

History and Rental Returns

Maintenance history shows alongside return records:

    • What condition it was in before rental

    • What service was done after return

    • Pattern of damage from certain customers or uses
