Service jobs track maintenance, repairs, and inspections for equipment — whether performed at your workshop, on customer sites, or in the field. They ensure equipment stays in working order and create a maintenance history.

Types of Service Jobs

Creating a Service Job

    • Go to Service in the sidebar

    • Click "New Service Job"

    • Select equipment to be serviced

    • Enter service details

    • Schedule and assign

    • Save

Service Job Fields

Service Job Workflow

    • Created — Job logged in the system

    • Scheduled — Date and technician assigned

    • In Progress — Work has started

    • Awaiting Parts — Paused for parts to arrive

    • Completed — Work finished, equipment ready

Tip: Use the "Awaiting Parts" status to track jobs on hold. This keeps your active queue clean while maintaining visibility.

Creating Service Jobs from Returns

When equipment comes back:

    • Process the return

    • If issues found — Click "Create Service Job"

    • Details pre-fill from the return

    • Add specific service requirements

    • Save

This links the service job to the rental for damage tracking.

Customer-Initiated Service

When customers report issues:

    • Create service job

    • Link to active rental

    • Set location: On-site at customer

    • Schedule visit

    • Dispatch technician

Service jobs can be billable or covered under rental agreement.

Recording Work Done

When completing a service job:

    • Open the job

    • Click "Complete Job"

    • Enter completion details:

    • Work performed summary

    • Parts used

    • Time spent

    • Technician notes

    • Photos (before/after)

    • Update equipment status (available, needs follow-up, etc.)

    • Save

Tracking Parts

Record parts used in service:

    • Open service job

    • Click "Add Parts"

    • Search for part or enter manually

    • Enter quantity and cost

    • Save

Parts costs can be charged to customer or absorbed.

Service Job Dashboard

View all service activity:

    • Go to Service

    • See dashboard showing:

    • Open jobs by status

    • Jobs due today

    • Overdue jobs

    • Awaiting parts

    • Recently completed

Filtering Service Jobs

Find specific jobs:

    • By status — Open, In Progress, Completed

    • By equipment — Search for specific item

    • By technician — See one person's workload

    • By date range — When created or scheduled

    • By type — Maintenance, Repair, Inspection
