Assigning staff to jobs connects people to work — deliveries, pickups, and service calls. Good assignment considers availability, location, skills, and workload to keep operations running smoothly.

Drag and Drop Assignment

    • Open Logistics dispatch board

    • Find the job in the queue

    • Click and drag the job card

    • Drop onto a staff member's column

    • Position at the right time slot

The job immediately moves from queue to assigned.

💡

Tip: Drag-and-drop is fastest when assigning multiple jobs. Keep the dispatch board open and work through the queue.

Assigning via Job Details

    • Click the job to open details panel

    • Click "Assign" button

    • Select staff member from dropdown

    • Optionally set time if different from scheduled

    • Click "Confirm"

Checking Availability

When assigning, CloudRent Pro shows staff availability:

    • Green — Available, no conflicts

    • Yellow — Working but has other jobs

    • Red — Not rostered or unavailable

    • Grey — On leave or inactive

Hover over a staff member to see their current jobs.

Viewing Workload

The dispatch board shows job counts for each person:

    • 0-2 jobs — Light (can take more)

    • 3-5 jobs — Normal load

    • 6+ jobs — Heavy (consider redistributing)

Balance assignments across the team.

Assigning Multiple Staff

Some jobs need a crew:

    • Open job details

    • Click "Assign"

    • Select multiple staff (Ctrl/Cmd + click)

    • Or choose a crew from the dropdown

    • Confirm

All assigned staff receive notifications and see the job.

Assignment Notifications

When you assign a job:

    • Push notification sent to staff's device

    • Job appears in their "My Jobs" list

    • Email sent (if enabled in their preferences)

If accept/decline is enabled, staff must acknowledge the assignment.

Reassigning Jobs

To change who's assigned:

    • Open the job

    • Click "Reassign"

    • Select new staff member

    • Add reason (optional but helpful)

    • Confirm

Both the original and new assignee are notified.

Unassigning

To remove an assignment:

    • Open the job

    • Click "Unassign"

    • Confirm

The job returns to the queue. The staff member is notified of removal.

Smart Assignment Considerations

Geographic Grouping

Assign nearby jobs to the same driver. Check the map view to see job locations.

Equipment Requirements

Match job requirements to vehicle capacity. Large deliveries need trucks.

Skill Requirements

Service jobs may need specific technician skills. Check qualifications before assigning.

Licence Requirements

Some equipment requires licenced operators. The system warns if assigned staff lack required licences.

Tips for Assignment

📝 Plan Routes

Use the map view to assign geographically sensible routes.

💰 Communicate Urgency

If a job is truly urgent, call or message the staff member directly.

📂 Leave Buffer Time

Don't schedule jobs back-to-back. Traffic and delays happen.

🎯 Review at Day End

Check tomorrow's assignments before leaving. Fix issues before they become emergencies.
