Calendar View

The rental calendar provides a Gantt-style view of all your bookings across time. See at a glance what's out, what's coming up, and spot gaps or conflicts in your schedule.

Accessing the Rental Calendar

    • Click Rentals in the sidebar

    • Click the Calendar tab

    • Browse rentals across dates

Understanding the View

The calendar displays:

    • Rows — Each rental is a horizontal bar

    • Columns — Dates across the timeline

    • Bar length — Duration of the rental

    • Bar colour — Status of the rental

Colour Legend

Colour

Status

Purple

Quote — Pending approval

Blue

Reserved — Confirmed, not yet active

Green

Active — Equipment currently out

Grey

Returned — Complete

Custom statuses display in their configured colours.

Navigation

Date Navigation

    • Today button — Jump to current date

    • ← → arrows — Move forward/back in time

    • Date picker — Jump to specific date

    • Scroll — Drag the timeline left/right

View Scale

    • Day — Detailed single-day view

    • Week — 7 days at a time (default)

    • Month — Full month overview

    • Quarter — 3-month strategic view

💡

Tip: Use week view for daily operations and month view for planning. Quarter view is great for seeing seasonal patterns.

Filtering the Calendar

Focus the calendar view with filters:

By Status

    • Click the status filter

    • Select statuses to show (Quote, Reserved, Active, etc.)

    • Calendar updates to show only those rentals

By Customer

    • Type in the search box

    • Select a customer

    • See only their rentals

By Equipment

    • Click "Filter by Equipment"

    • Select equipment items

    • See rentals containing those items

Clicking on Rentals

Click any rental bar to see:

    • Rental number and customer

    • Start and end dates

    • Status and total value

    • Quick action buttons

Click "View Rental" to open the full detail page.

Quick Actions from Calendar

Creating a Rental

    • Click on an empty date

    • Click "New Rental"

    • Date pre-populates in the form

Extending a Rental

    • Click and drag the right edge of a rental bar

    • Drag to the new end date

    • Confirm the extension

Moving a Rental

    • Click and drag the rental bar (not edges)

    • Drop on new dates

    • Confirm the date change

ℹ️

Note: Only Quote and Reserved rentals can be moved by dragging. Active rentals require editing through the detail page.

Both show the same underlying data from different perspectives.

Identifying Conflicts

The calendar highlights potential issues:

    • Overlapping bars — Multiple rentals for same equipment

    • Warning icons — Issues like overbooking

    • Red highlights — Critical conflicts requiring attention

Calendar Settings

Customise your calendar experience:

    • Click the gear icon

    • Configure options:

    • Week start day — Monday or Sunday

    • Default view — Week, Month, etc.

    • Show returned — Include completed rentals

    • Compact mode — Fit more rows on screen

📂 Check Daily

Start each day by reviewing the calendar. Know what's going out and coming back.

🎯 Use Filters

Don't scroll through everything — filter to what's relevant to your task.

📝 Plan Ahead

Month view helps spot busy periods where you might need extra staff or equipment.

💰 Watch for Gaps

Gaps between rentals are revenue opportunities. Consider promotions for slow periods.
