Copy Week Roster

36 viewsUpdated 21 June 2026

Copy Week lets you duplicate an entire week's roster to another week with one click. This is perfect for businesses with consistent weekly schedules — build once, copy many times.

When to Use Copy Week

    • Consistent schedules — Same shifts every week

    • Rotating rosters — Copy and adjust

    • Planning ahead — Build multiple weeks quickly

Copying Last Week's Roster

    • Navigate to the target week (the week you want to fill)

    • Click "Copy Week"

    • Select source week (usually "Last Week")

    • Click "Copy"

    • All shifts duplicate to the current week

What Gets Copied

The new roster starts unpublished — review before publishing to staff.

Copying from Any Week

Copy from weeks other than last week:

    • Click "Copy Week"

    • Select "Choose Week"

    • Pick the source week from calendar

    • Click "Copy"

💡

Tip: Save a "master week" roster that represents your ideal schedule. Copy from it whenever starting fresh.

Editing After Copy

After copying, adjust as needed:

    • Delete shifts for staff on leave

    • Add shifts for additional coverage

    • Move shifts to different times or people

Copied shifts are independent — changes don't affect the source week.

Overwriting Existing Shifts

If the target week already has shifts:

Option

Result

Replace All

Delete existing, paste copied

Merge

Keep existing, add copied (may create overlaps)

Cancel

Don't copy

⚠️

Warning: "Replace All" permanently deletes existing shifts. Make sure you want to overwrite before confirming.

Handling Unavailable Staff

When copying shifts for staff who are unavailable in the target week:

    • Warning shown — Lists conflicting shifts

    • Options: Skip those shifts, copy anyway, or cancel

Review conflicts before proceeding.

Multiple Week Copy

To copy to multiple future weeks:

    • Copy to week 1

    • Review and publish

    • Navigate to week 2

    • Copy from the same source

    • Repeat

ℹ️

Note: CloudRent Pro doesn't have bulk multi-week copy. Copy one week at a time to review each before publishing.

Best Practices

📝 Always Review

Never publish a copied roster without reviewing. Situations change week to week.

💰 Check Leave

Staff on leave need shifts removed or reassigned.

📂 Update for Events

Busy periods may need additional coverage beyond the standard week.

🎯 Communicate Changes

If you've made significant changes to the copied roster, let staff know what's different.
