Crews are pre-defined groups of staff who work together on jobs. Instead of assigning individuals one by one, assign an entire crew with a single action — perfect for deliveries and installations that need multiple people.

Creating a Crew

    • Go to Settings → Staff → Crews

    • Click "Add Crew"

    • Enter crew name (e.g., "Truck 1 Team", "Install Crew A")

    • Select crew members

    • Optionally assign default vehicle

    • Save

💡

Tip: Name crews after their vehicle or function — "Crane Truck", "Scaffold Team" — so dispatchers know what capability they represent.

Crew Structure

✓ Required

    • Crew name

    • At least 2 members

○ Optional

    • Crew leader (primary contact)

    • Default vehicle

    • Description/notes

Managing Crew Members

Adding Members

    • Open crew settings

    • Click "Add Member"

    • Select staff from dropdown

    • Save

Removing Members

    • Open crew settings

    • Click X next to member name

    • Confirm

Setting Crew Leader

    • Open crew settings

    • Click the star icon next to a member

    • That person becomes crew leader

The crew leader is the primary point of contact for jobs.

Assigning Crews to Jobs

    • Open the job

    • Click "Assign"

    • Click "Crews" tab in assignment panel

    • Select the crew

    • Confirm

All crew members are assigned simultaneously. Each member:

    • Receives notification

    • Sees job in their "My Jobs" list

    • Can update job status

Crew Availability

When selecting crews for assignment, availability shows:

    • All available — Every crew member can take the job

    • Partial — Some members have conflicts

    • Unavailable — Key members can't work

Click to see which members have conflicts.

Substitute Members

When a crew member is unavailable:

    • Assign the crew as normal

    • Click "Modify Members" on the job

    • Remove unavailable member

    • Add substitute

    • Save

This changes assignment for this job only — the crew definition stays the same.

Crew Vehicles

Link a default vehicle to a crew:

    • Open crew settings

    • Select vehicle from dropdown

    • Save

When the crew is assigned, the vehicle is automatically allocated.

Viewing Crew Jobs

See what a crew is working on:

    • Go to Logistics

    • Filter by crew in the sidebar

    • View all jobs assigned to that crew

Tips for Crew Management

📝 Keep Crews Stable

Teams work better when they know each other. Avoid constantly shuffling.

💰 Match Skills to Jobs

Create specialised crews for specific job types.

📂 Plan for Absences

Have backup members who can substitute when needed.

🎯 Review Performance

Track completion times by crew. Some teams are faster than others.

ℹ️

Note: A staff member can belong to multiple crews. They'll see all their assigned jobs regardless of which crew they were assigned through.
