Delivery Options

CloudRent Pro supports multiple delivery methods to match how your business operates. Configure whether customers pick up from your yard, you deliver to their site, or a third-party courier handles transport.

Delivery Methods

Method

Description

Customer Pickup

Customer collects equipment from your location

Local customers, small items, walk-in trade

Delivery

You deliver equipment to customer's site

Large equipment, construction sites, events

Third-party courier transports equipment

Distant locations, time-sensitive, specialised transport

Setting Delivery Method

    • Open the rental (or create a new one)

    • Find the Delivery section

    • Select the method from the dropdown

    • Configure method-specific details

    • Save the rental

Customer Pickup

When customers collect equipment themselves:

Configuration

    • Pickup Location — Your yard/warehouse address (auto-populated from company settings)

    • Pickup Date/Time — When customer should arrive

    • Special Instructions — Loading bay, contact person, parking

What Happens

    • No delivery charge is added

    • Pickup appointment appears on your dispatch calendar

    • Customer can be sent pickup confirmation email

💡

Tip: Set operating hours for pickups in Settings → Locations to prevent bookings outside your open times.

Delivery

When you deliver to the customer's site:

    • Delivery Address — Where to deliver

○ Optional

    • Site Contact — Person to meet on site

    • Site Contact Phone — Direct contact number

    • Delivery Date — When to deliver

    • Delivery Window — Morning, Afternoon, or specific time

    • Access Instructions — Gate codes, parking, site rules

Delivery Address Options

    • Use customer's address — Pre-populated from customer profile

    • Enter new address — For this rental only

    • Select saved address — If customer has multiple saved locations

Adding Delivery Charges

Delivery charges can be added as a line item:

    • Click "Add Delivery Charge"

    • Enter the amount

    • Or select a preset from your delivery rate card

Note: Configure delivery rate zones in Settings → Delivery to auto-calculate charges based on distance or postcode.

Courier

When a third party handles transport:

Configuration

    • Delivery Address — Where courier delivers

    • Courier Company — Which courier to use

    • Tracking Number — Once dispatched

    • Courier Cost — What you pay (internal)

    • Customer Charge — What customer pays

Courier Workflow

    • Book the courier (outside CloudRent Pro)

    • Enter tracking number on the rental

    • Send tracking to customer via email

Collection (Returns)

The return method is separate from delivery:

Customer brings equipment back to your yard

You pick up equipment from customer's site

Courier Return

Courier picks up and returns equipment

Set return method in the rental's Delivery section under "Return Method".

Logistics Integration

When delivery or collection is set, CloudRent Pro can automatically create logistics jobs:

    • Toggle "Create Logistics Job" to On

    • Job appears in the Logistics → Job Queue

    • Assign driver/vehicle from the dispatch board

This connects your rental to the delivery workflow seamlessly.

Store multiple addresses on customer profiles for quick selection on future rentals.

Configure zone-based pricing to automate delivery charge calculations.

💰 Don't Forget Collection

Charge for collection separately if your business model requires it.

🎯 Use Site Contacts

Always capture a site contact. Drivers need someone to meet on arrival.

⚠️

Warning: Double-check delivery addresses, especially for construction sites. Incorrect addresses cause delays and frustrated customers.
