Multi-Item Rentals

Most rentals involve multiple pieces of equipment. CloudRent Pro makes it easy to add, manage, and organise multiple items within a single booking, keeping everything together for clean invoicing and tracking.

Adding Multiple Items

    • Open the rental (or create a new one)

    • Click "Add Items"

    • Search or browse equipment

    • Click items to add them — A count badge shows quantity

    • Adjust quantities using +/- for each item

    • Click "Add to Rental" when done selecting

You can add items in multiple sessions — just click "Add Items" again to include more equipment.

The Items List

After adding, items appear in a list showing:

Number of units

Rate

Price per unit per period

Daily, weekly, or monthly

Duration for this item

Total

Line total (Qty × Rate × Days)

Adjusting Quantities

Change how many units are included:

    • Find the item in the list

    • Click the quantity number

    • Enter the new quantity

    • Press Enter or click away to save

Totals recalculate automatically.

💡

Tip: Check availability before increasing quantity. CloudRent Pro warns you if you exceed available stock, but it's good practice to verify first.

Overriding Prices

Customise pricing for specific items:

    • Click the rate amount

    • Enter the custom price

    • Press Enter to apply

Overridden prices show a small indicator. The original rate is preserved in the equipment master.

Adding Discounts

Apply discounts to individual line items or the whole rental:

Per-Item Discount

    • Click the discount icon on the line item

    • Enter percentage or fixed amount

    • Apply

Whole Rental Discount

    • Scroll to the totals section

    • Click "Add Discount"

    • Enter the discount

    • Apply

Using Sections

For complex jobs, organise items into sections:

    • Click "Add Section"

    • Name the section (e.g., "Week 1", "Main Site", "Audio Equipment")

    • Add items to the section

    • Drag items between sections to reorganise

Sections appear on quotes and invoices, making complex rentals easier to understand.

Section Use Cases

    • Multi-phase projects — Week 1, Week 2, Week 3

    • Multiple sites — Site A, Site B

    • Equipment types — Furniture, Lighting, Audio

    • Billing separation — Labour, Equipment, Consumables

Different Dates per Item

Sometimes items on a rental have different periods:

    • Click on the item to expand it

    • Click "Custom Dates"

    • Set different start/end dates for this item

    • Save

Note: Items with custom dates show their specific period in the list. The rental's main dates remain as the overall booking window.

Removing Items

    • Find the item in the list

    • Click the X (delete) button

    • Confirm removal

Removed items are no longer on the rental. Their availability is immediately restored.

⚠️

Warning: Removing items from an Active rental may affect invoicing. Make sure to adjust any existing invoices accordingly.

Reordering Items

Change the display order of items:

    • Click and hold the drag handle (≡) on an item

    • Drag to the new position

    • Release to drop

Item order affects how they appear on quotes and invoices.

Bulk Actions

Select multiple items for bulk operations:

    • Check the boxes next to items

    • Click "Bulk Actions"

    • Choose an action:

    • Apply Discount — Same discount to all selected

    • Change Period — Switch all to daily/weekly/monthly

    • Remove Selected — Delete multiple items at once

📂 Use Search Wisely

When adding items, type to search. It's faster than browsing categories for large catalogs.

📝 Group Logically

Use sections to group related items. Customers appreciate organised quotes.

💰 Check Totals

Review the rental total after adding items. Catch pricing errors before sending quotes.

🎯 Save Templates

For repeat rental types (e.g., standard party package), consider creating equipment kits that add multiple items at once.
