Rental Extensions
When customers need equipment longer than originally planned, you can extend the rental's end date. CloudRent Pro recalculates pricing automatically and updates availability to reflect the new timeline.
When to Extend a Rental
Project delays — Work taking longer than expected
Customer request — They want to keep equipment longer
Weather delays — Outdoor events rescheduled
Extended contracts — Ongoing work requiring continued hire
Extending a Rental
Open the Active rental
Click "Extend Rental" (or edit the End Date)
Select the new end date
Review the price change
Click "Confirm Extension"

Tip: Check availability before extending. If another booking needs the equipment, you'll see a conflict warning.
Price Recalculation
When you extend, CloudRent Pro recalculates the total based on the new duration:
Example: 7-day rental extended to 14 days
Original: 1 week at $500/week = $500
Extended: 2 weeks at $500/week = $1,000
Additional charge: $500
Tiered Pricing Benefits
If you have tiered pricing, extensions might qualify for better rates:
Example with tiered pricing
Days 1-7: $100/day = $700
Days 8-14: $80/day = $560
Total for 14 days: $1,260
The customer gets the benefit of the longer-duration rate on the additional days.

For rentals with no fixed end date:
Click "Extend"
Toggle "Open-Ended" on
Rental continues until returned

Note: Open-ended rentals are billed based on actual return date. Set invoicing schedules (weekly, monthly) for ongoing billing.
Availability Conflicts
If the extension overlaps with another booking:

Notifying the Customer
After extending, you can send the customer confirmation:
Extension confirmed
Click "Notify Customer"
Email sent with new end date and updated pricing
Alternatively, generate an updated quote or amendment document.
Invoicing Extensions
If Original Rental Wasn't Invoiced
No action needed — the final invoice will include the full extended period.
If Original Rental Was Invoiced
Create an additional invoice for the extension period:
Click "Create Invoice"
Select "Extension Only"
Invoice covers just the additional days

Warning: Don't invoice the full extended period if you already invoiced the original period — you'll double-bill the customer.
Extension History
All extensions are logged on the rental:
Timeline tab — Shows when extensions were made
Original vs current dates — Compare initial booking to current
Who made changes — Staff member logged
Shortening a Rental
If the customer wants to return early (not an extension, but similar workflow):
Open the rental
Edit the end date to an earlier date
Or process an early return
Pricing recalculates downward. If already invoiced, issue a credit note for the difference.
Tips for Extensions
📝 Communicate Proactively
Reach out before end dates. Customers appreciate being asked if they need more time.
💰 Get Approval
For large extensions, confirm the customer accepts the additional charges before extending.
📂 Update Contracts
Major extensions may need a contract amendment, especially for insurance purposes.

Extended rentals may cross scheduled maintenance dates. Check service requirements.
