Staff Roster

The roster lets you plan and manage staff schedules visually. Build weekly rosters with drag-and-drop, see who's available, and ensure you have the right coverage for your operations.

Accessing the Roster

    • Click Staff in the sidebar

    • Select "Roster" tab

    • View the weekly calendar

Understanding the View

The roster displays:

    • Rows — Staff members

    • Columns — Days of the week

    • Cells — Shifts for that person on that day

    • Colours — Each staff member's calendar colour

Creating a Shift

    • Click on an empty cell (intersection of staff and day)

    • Set start and end times

    • Optionally select a shift template

    • Add notes if needed

    • Save

The shift appears in the roster.

Shift Details

✓ Required

    • Staff member

    • Date

    • Start time

    • End time

○ Optional

    • Break duration

    • Location

    • Notes

💡

Tip: Use shift templates for common shift patterns (Morning, Afternoon, Full Day) to speed up roster building.

Editing Shifts

Quick Edit

    • Click on an existing shift

    • Modify times or details

    • Save

Drag to Move

    • Click and hold a shift

    • Drag to a different day (same person)

    • Or drag to a different person (same day)

    • Release to drop

Drag to Resize

    • Hover over shift edge

    • Drag to extend or shorten

Deleting Shifts

    • Click on the shift

    • Click Delete

    • Confirm

Weekly Navigation

    • ← → arrows — Move to previous/next week

    • Today button — Jump to current week

    • Date picker — Jump to a specific week

Staff Availability

The roster shows staff availability:

    • Green — Available

    • Yellow — Limited availability

    • Red — Unavailable (leave, blocked)

    • Grey — Outside normal working pattern

Hover over a cell to see availability details.

Conflict Detection

CloudRent Pro warns about:

    • Double-booking — Same person, overlapping shifts

    • Availability conflicts — Shift during unavailable time

    • Overtime — Exceeding configured hour limits

Conflicts show with warning indicators.

Publishing the Roster

When the roster is ready, publish to notify staff:

    • Review all shifts

    • Click "Publish"

    • Choose notification method (email, push, both)

    • Confirm

Staff receive their schedule and can view it in the app.

ℹ️

Note: Unpublished rosters are only visible to managers. Publish to make shifts visible to staff.

Roster Reports

View roster statistics:

    • Total hours scheduled per week

    • Hours per staff member

    • Cost projection (if rates configured)

    • Coverage gaps

Tips for Rostering

📝 Plan Ahead

Build rosters at least a week in advance. Staff appreciate notice.

💰 Balance Fairly

Distribute hours equitably unless staff have requested fewer hours.

📂 Consider Skills

Make sure you have the right mix of skills on each shift.

Review staff availability before building the roster.
